To use the arkflux Subscription module, you must integrate with GoCardless for you payment processing and XERO for your accounting. Learn more here.
You will also need to enter your Sales Line items. Learn more here.

Create Subscription

Create a Subscription in which a customer will pay a recurring price at regular intervals for access to a product or service.

Sales > Subscriptions > Subscription > Select contact > Select or create the subscription directly against a contact from the Contact Profile.

Enter a Subscription Reference e.g. Bronze Package/Training Session/Monthly Support.

Subscription Tab

Payment Type
Select the payment type:

Invoice:
Suitable for one-time transactions or when the customer needs to review the details of the charges before paying.

Direct Debit:
Ideal for recurring payments like utility bills, subscriptions, or when a business wants to ensure consistent cash flow by automatically collecting payments on time.

Frequency
Select the frequency of payment:

Start and End Date
The start date will automatically set when the subscription is active. The end date can be set when you know the subscription needs to be made inactive and 'end'.

Owner
Select the owner of the subscription - this will default to the creator of the subscription but can be overridden.

PO Number / Reference
Enter a purchase order number; a specific reference code that's assigned to a purchase so that it can be tracked throughout the order process.

Next Payment Date
A useful field that will automatically show the next date a payment is due.

Line Items Tab

Add Line Items to the subscription using the green action button.

Invoices

View a copy of the invoice sent to the contact with associated Status:

Awaiting Payment
Paid
Sent
Issue with Payment

Comments

Add a comment via the green action button which will show on the subscription blade under the comment tab and also on the associated contact timeline.

Activity

View all changes to the subscription blade made by and admin e.g. Status and Webhook updates

Status of Subscriptions

Draft
The subscription has not been made Live by clicking...

Send
The subscription has been sent to the contact for review.

Signed Not Paid
The subscription has been reviewed and signed by the contact, but not paid.

Payment Issue
There is an issue with arkflux processing and payment. Please contact support@arkflux.com if this shows.

Active
The subscription has been reviewed, signed and paid by the contact, therefore the subscription is active.

Expired
The subscription end date has passed therefore the subscription has expired.

Edit and Republish

Subscriptions can be edited dependant on the permissions given with the user role.

An Active subscription can have line items deleted

Any changes to subscriptions will not reflect on the live subscription until
